Troop
2001 Organization
It takes a lot of people to make a Boy Scout troop successful. Adult and
boy leadership is needed. Adults are needed to serve as scoutmasters, assistant
scoutmasters, committee members, activity chaperones and provide transportation
for outings. Boy leaders are needed to run the troop, develop the program,
and then carry it out.
If we expect people to do well in a leadership or advisory role then it
stands to reason that they must know what that role require of them. The
following is a listing of the various roles, both adult and boy, that need
to be filled to bring a successful program to our committee.
Committee and Adult Leaders
The Committee Chairperson:
- Organize
the committee to see that all functions are delegated, coordinated, and
completed.
- Maintain
a close relationship with the chartered organizations representative and
the Scoutmaster.
- Interpret
national and local policies to the troop.
- Prepare
troop committee meeting agendas.
- Call,
preside over, and promote attendance at monthly troop committee meetings
and any special meetings that may be called.
- See
to it that committee responsibilies are carried out when a position remains
vacant.
- Arrange
for charter review and recharter annually.
- Review
and update re-charter packet contents.
- Plan
the charter presentation
The Secretary:
- Keep
minutes of meetings and send out meeting notices.
- Conduct
the troop resource survey.
- At
each meeting, report the previous meeting's minutes.
- Help
prepare the newsletter of troop events and activities.
The Treasurer:
- Handle
all troop funds.
- Pay
bills on the recommendation of the Scoutmaster and authorization of the
troop committee.
- Maintain
checking and savings accounts
- Train
and supervise the troop scribe in record keeping.
- Keep
adequate records in the Troop Record Book.
- Supervise
the camp savings plan.
- Lead
in the preparation of the annual troop budget.
- Report
to the troop committee at each meeting
- Keep
adequate records of expenses
Fundraising Coordinator:
- Leads
the Friends of Scouting campaign.
- Recruits
the Popcorn Colonel, Ringmaster and adults for other fundraising events.
- Works
with the Corresponding Secretary in obtaining donations.
- Insures
that required paperwork is filed for all troop or patrol fundraising efforts.
- Assists
in obtaining sites and facilities for fundraising events.
Advancement
Coordinator:
- Encourage
Scouts to advance in rank.
- Work
with the troop scribe to maintain all Scout advancement records.
- Arrange
troop boards of review.
- Develop,
maintain and distribute to the Scoutmasters and Committee Members a merit
badge counselor list.
- Make
a prompt report on the correct form to the council service center when
a troop board of review is held.
- Secure
badges and certificates.
- Work
with the troop librarian to build and maintain a troop library of merit
badge pamphlets.
- Report
to the troop committee at each meeting.
Activities/Outdoors Coordinator:
- Ensure
a monthly outdoor program.
- Secure
permission to use camping sites.
- Secure
tour permits for all troop activities.
- Serve
as transportation coordinator.
- Secure
top-notch , trained individuals for camp leadership.
- Promote
the National Camping Award.
- Promote,
through family meetings, attendance at troop campouts, camporees, and
summer camp to reach the goal of one outing per month.
- Report
to the troop committee at each meeting.
The Charter Organization Representative:
- Is
a member of the chartered organization.
- Serves
as head of "Scouting Department" in the organization.
- Maintains
a close liaison with the troop committee chairman.
- Helps
recruit other adult leaders.
- Serves
as a liaison between the troop and the chartered organization.
- Assists
with Unit rechartering.
- Encourages
service to the organization.
- Is
an active and involved member of the district committee.
Service Projects Coordinator :
- Seeks
service opportunities for the troop and patrols.
- Publicizes
service opportunities and seeks volunteers.
- Coordinates
troop service for the Charter Organization.
- Arranges
leadership and refreshment for service projects.
- Reports
to the Troop Committee and Newsletter Staff.
Religious
Coordinator:
- Provide
a spiritual tone for troop meetings and activities.
- Give
guidance to the chaplain aide.
- Promote
regular participation of each member in the activities of the religious
organization of his choice.
- Visit
homes of Scouts in time of sickness or need.
- Encourage
Boy Scouts to earn their appropriate religious emblems.
- Report
to the troop committee at each meeting
Training
Coordinator:
- Ensure
troop leaders and committee members have opportunities for training.
- Ensure
troop representation at monthly roundtables.
- Maintain
an inventory of up-to-date training materials.
- Work
with the district training team in scheduling Fast Start training for
all new leaders.
- Be
responsible for BSA Youth Protection training within the troop.
- Encourage
periodic junior leader training at the troop, council and national levels.
- Report
to the troop committee at each meeting.
Equipment
Coordinator:
- Supervise
and help the troop procure necessary equipment.
- Work
with the youth quartermaster on inventory and proper storage and maintenance
of all troop equipment.
- Make
periodic safety checks on all troop gear, and encourage troops in safe
use of all outdoor equipment.
- Report
to the troop committee at each meeting.
Recruitment:
- Make
arrangments for School Night.
- Encourage
boys to earn the Recuiter patch.
- Assist
in sponsored events that reach out to the packs.
- Plan
for Pack and District Crossover Ceremonies.
- Train
volunteers for the crossover events.
Summer
Camp Coordinator:
- Promotes
troop summer camp participation.
- Secure
top-notch, trained individuals for camp leadership.
- Secure
a campsite for summer camp.
- Investigate
the campsite well in advance for capital improvement and service opportunities.
- Work
with the Service Coordinator to provide service to the camp.
- Work
with the High Adventure Coordinator to arrange camp expericences at Skymont,
Philmont or in other challenging venues.
- Encourage
the troop to prepare for summer camp well ahead of time.
- Work
with the summer camp staff on preparing troop and individuals for summer
camp.
- Work
with the Treasurer and Scouts on summer camp savings plan.
Corresponding
Secretary:
- Handle
publicity.
- Help
prepare the newsletter of troop events and activities.
- Prepare
solicitation letters for donations to troop events.
- Write
recognition letters to those who have supported the troop.
- Prepare
and distribute Re-chartering packets.
- Keep
a record of all correspondence.
Web
Master:
- Post
upcoming events to the web calendar.
- Proof
read and edit submissions from the troop before posting.
- Help
prepare the newsletter of troop events and activities.
- Expand
the quantity and quality of the web site content.
- Check
site links periodically for dead references.
Committee Member:
- Take
part in Committee meetings.
- Participate
in Boards of Review.
- Provide
input into Troop policies and activities.
- Assist
during Troop meetings.
Assistant Scoutmasters:
Serves as the troop leader in the absence of the
Scoutmaster.
Handles specific program responsibilities, such
as the new scout patrol.
Is responsible to the Scoutmaster for program
and activities of the troop.
Works with the assistant senior patrol leader.
Scoutmaster:
Train and guide boy leaders to run their troop.
Work with and through responsible adults to give
Scouting to boys.
Help boys grow by encouraging them to learn for
themselves.
Guide boys in planning the troop program.
To attend all troop meetings or have a qualified
adult substitute in his place.
To attend all troop committee meetings.
To attend training courses and roundtables whenever
possible.
Will supervise troop elections and approve candidates
for the Order of the Arrow.
Will meet monthly with the Patrol Leaders Council
for coordination and planning of
troop activities.
Is responsible to the troop committee.
